We are seeking a detail-oriented and organized Administrative Assistant to provide day-to-day support to the Purchasing and Procurement Managers. This is a temporary 14-month contract role, with the possibility of extension at the end of the term. This role will assist with a variety of administrative, reporting, scheduling, and vendor-related activities that help support smooth departmental operations. The successful candidate will be dependable, organized, and proactive, with a willingness to learn purchasing and procurement processes. This position is well suited to someone who enjoys variety, follow-up, data accuracy, and supporting a busy team with evolving priorities.

Salary range is $49,920.00 - $58,240.00 annually. Wages scaled based on education and/or experience.

Key Responsibilities
  • Provide general administrative support to the Purchasing and Procurement Managers, including coordinating meetings, maintaining calendars, and assisting with follow-up items.
  • Support departmental reporting activities, including preparing, updating, and maintaining routine reports, summaries, and tracking documents.
  • Assist with vendor-related documentation, forms, applications, and communications as required.
  • Help maintain accurate records related to pricing, credits, allowances, rebates, transfers, and other purchasing or procurement activities.
  • Coordinate with internal teams and external vendors to gather information, confirm details, and support timely completion of administrative tasks.
  • Assist with reconciliation, tracking, and documentation processes related to vendor programs and departmental initiatives.
  • Support seasonal, monthly, quarterly, and year-end administrative activities as needed.
  • Identify opportunities to improve organization, follow-up, and documentation within assigned tasks.
  • Perform other administrative duties and special projects as assigned.
Qualifications:
  • Previous administrative experience in an office, purchasing, procurement, accounting, or operations environment is considered an asset.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • High attention to detail and accuracy when working with reports, spreadsheets, and records.
  • High level of skill with spreadsheet manipulations.
  • Professional communication skills and the ability to work with internal teams and external vendor contacts.
  • Ability to work independently while supporting team priorities in a collaborative environment.
  • Discretion, confidentiality, and sound judgment when handling department information and documentation.
